With CONvergence: The Stuff of Legends postponed to August 5th – 8th 2021, we know you have questions about options for your CONvergence 2020 membership, hotel reservations, and more.

Connie winking, wearing her CONvergence membership badge on a lanyardAll CONvergence 2020 memberships have been automatically extended through the 2021. This means that if you bought a membership for CONvergence 2020, you now automatically have a membership for CONvergence 2021 including admission to the 2021 convention. If you wish to keep your CONvergence 2021 membership, you do not need to do anything at this time. If you prefer to cancel or donate your extended membership, please see the next sections.

Membership Cancellation and Refunds

If you would prefer to cancel your CONvergence 2020 membership instead of having it extended through CONvergence 2021, and/or require a refund, you can request it by filling out this form: 2020 Membership Refund Request

This is a special one-time exception to our normal membership policy because of the unique circumstances due to COVID-19 that have impacted the CONvergence 2020 membership cycle and convention.

All requests for refunds must:

  • Be requested by filling out the 2020 Membership Refund Request form and submitting it between July 1, 2020 and 11:59 PM CST July 31, 2020.
  • Be requested by the individual who originally purchased the membership. If your membership was purchased by someone else and you would like a refund, they will have to fill out the refund request form for you. Only requests from the original purchaser will be accepted.
  • Be credited to the original credit card, or in the situation that Authorize.net cannot process the refund electronically, a printed check will be issued and sent to the address provided when filling out the form. If this address is different from the address provided during the initial registration, further verification may be required.

If You Bought a Child or Teen Badge for 2020 but will be In a different Age Bracket in 2021

Any member who has a birthday before August 5th, 2021 that puts them in a different badge age category from their 2020 membership will be issued the badge that corresponds to their age at the time of the 2021 convention, regardless of the price at time of purchase. So, if you bought a teen badge for CONvergence 2020, but will be 18 during CONvergence 2021, you don’t need to worry!

Want to Donate Your Membership?

If you wish to donate your CONvergence 2020 membership fee to Convergence Events, Inc, you may indicate so by checking the designated box on the 2020 Membership Refund Request form.

Want to Donate to CONvergence in Other Ways?

We are exploring other options for the community to donate to Convergence Events, Inc. and CONvergence to help offset some of the expenses associated with the postponement of the 2020 event. Please keep an eye out for updates on social media and in your email.

You can also donate right now by using this button:

Dealers Room and Artists Alley

If you were a selected vendor or artist for CONvergence 2020, we understand that times are tough for you with so many conventions having been postponed or canceled. You may request a table and membership refund using the 2020 Membership Refund Request form. If you allow your table and membership fee to roll forward to CONvergence 2021, your spot in the Dealers Room or Artists Alley is guaranteed for the 2021 convention.

If you do apply for a refund at this time, you will need to reapply as a vendor or artist for CONvergence 2021 in accordance with the vendor policy/procedure dates, and you will be given preferred status (but not guaranteed a spot) during the selection process.  If you do not reapply, you will not be considered for a spot in the Dealers room or Artists Alley.

CONvergence 2021 Membership Price Increase

Due to rising costs and budgetary concerns to keep the convention solvent, CONvergence 2020 adult membership pricing has increased slightly. Because of this, we will not be issuing a refund on the $10 January 15, 2020 price increase. The new prices are below.

  • Until January 15th: $85
  • Until June 1st: $95
  • After June 1st through the end of the convention: $125
  • Teen and youth membership prices for 2021 and beyond will not change.

Registration for CONvergence “The Stuff of Legends” 2021 is now open. Click here to register now.

Additional Refund Questions

If you have any question not covered in this post, please contact us. (Select “CONvergence 2020 Refund Inquiries”.)Connie and MkII ride the escalators

Hotel Reservations

The Hyatt Regency and the Millennium Hotel are not able to roll room reservations over to 2021.  You should have received cancellation notifications already.  If you have not, please contact CONvergence Hotel Room Allocations for more information or help.

All other hotels listed on our website have been informed of our postponement.  If you have reservations with one of them, you will need to contact them to cancel your reservation or move it to the CONvergence 2021 dates.

We will start over with hotel room reservations in the first part of 2021. We appreciate your patience and understanding!

CONvergence Online

We are working on developing opportunities to bring you some of your regular CONvergence squee during August 20th to August 23rd, 2020 and hope to help you continue the squee year round.  We do not yet know exactly what that will look like, but keep an eye out for future emails and social media updates.

However, CONvergence now has an online content community, located at discourse.convergence-con.org. Going forward, this will be where to find links to ongoing online content, and discussion  about—well, all kinds of stuff you’d get to talk about if you were at a con! The Discourse site is in addition to our current online social media community.

Currently you can sign up and sign in in one of three ways:

  • If you know the email address and password you used to register for the convention, you can use those by saying ‘Use CONvergence Portal.’
  • If you have a Google account, you can use that.
  • You can just supply an email address and password.
  • In the future, we’ll also make it easy to sign in with Facebook and Twitter accounts.

A Great Time To Become a CONvergence Volunteer!

As you know, CONvergence is one of the largest volunteer-run fan conventions around, and we would not be able to do this without the 200+ year-round volunteers of the CONvergence Convention Committee. There are all kinds of roles, tasks, and skill sets involved in making CONvergence the event and community that you love. If you are finding that this year’s CONvergence hiatus might be a great time to get more involved with year-round volunteering, then we would love to hear from you.

Learn more about volunteering by checking out the Volunteer Positions page, or simply contact the CONvergence volunteers department and they can help you find the right volunteer opportunity for you!

Connie wearing an N95 mask with her smile drawn on the front of itDear CONvergence Members,

After careful consideration and analysis with help from the CONvergence Convention Committee, and after discussion with our main hotel, the Hyatt Regency, the Convergence Events Inc. Board of Directors has made the decision to postpone CONvergence 2020: The Stuff of Legends to 2021.

We hope you will be able to join us for CONvergence 2021: The Stuff of Legends on August 5-8, 2021.

We know you have a lot of questions about memberships. We will be automatically rolling all CONvergence 2020 memberships over to 2021 memberships, but are working on a mechanism to provide members, dealers, artists, etc. to request a refund if preferred. This will take us a little time to put in place. Refunds should be available by June 30th, 2020. We also hope to have more information on hotel room reservations by then.

We appreciate your patience and understanding. While we really wanted to hold the convention this year, the well-being of our community members—especially those with vulnerabilities that put them at greater risk for COVID-19—has always been foremost in our minds. Because of that, and looking at limitations based on the COVID-19 safety restrictions and the overall environment, we did not feel it was possible to present the quality of convention that you’ve come to love and expect at CONvergence.

We are in the process of developing additional virtual programming for the coming year to keep you connected to your CONvergence community, and provide some fun online CONvergence experiences to tide you over until CONvergence 2021. Stay tuned for more details in the coming months!

For now, please know that we do this—and everything—in order to support our community. We would again like to thank you for your patience as we continue to work on the details for this adjustment. If you have any questions, please contact us and we will answer them as soon as we can. As usual, updates will be posted on CONvergence’s social media and on this website as they are available.

Greetings CONvergence Members!

Connie as a Wandering Host

Last month, we committed to updating you on a monthly basis about the status of CONvergence 2020 amid the COVID-19 pandemic. As you might imagine, the news of the Minnesota State Fair cancellation has had a significant impact on our plans for the 2020 CONvergence convention, and changes the nature of the May update we had intended to post today.  We need to adjust to this new environment, and ask for your patience while we put together a formal announcement for next week, after the Memorial Day holiday.

As always, we appreciate your patience and understanding. Our Board of Directors, like our Convention Committee, are volunteers—some of whom are also essential workers. We are all doing the best that we can to adapt and serve our community during these strange times.

Remember, CONvergence is a people, not a hotel; not a date; and not even a specific event. We are a community, and we are invested in looking after one another. That means both ensuring the health and safety of CONvergence members, and ensuring that the community and our convention can persevere through and beyond this pandemic.

So, we put together a little treat for your Holiday weekend. Here is a playlist of some favorite CONvergence moments through the years for you to enjoy and to remember what we are all working for and trying to preserve.

We also understand that this may be a time of high anxiety for some members. We encourage you to help lessen that by posting your happy and positive CONvergence thoughts and memories on our CONvergence Community Facebook group.

This time is tough for the CONvergence community, the CONvergence Convention Committee, and everyone. But we can take care of each other in small ways while we work and wait for resolutions to our big questions. It’s the CONvergence thing to do.

Greetings CONvergence Members!

As the world continues to change with the Coronavirus (COVID-19) pandemic at the forefront of everyone’s attention, a number of other large events have begun to cancel or change plans. We remain deeply concerned about the impact to the health and well being of you, our membership. We are monitoring COVID-19 information on national and local levels. The situation remains very fluid, with new information emerging each week. We are making the best decisions possible with the information available, as quickly as possible, in order to inform everyone in the most timely manner. At this point in time, we remain strongly committed to proceeding with CONvergence on August 20-23, 2020.

While we understand there is apprehension because of the continuing uncertainty of the next several months, we are considering all factors involved as we determine what CONvergence can look like this year.

Factors we are considering include but are not limited to:Illustration of Professor Max Misfittle holding test tubes and wearing a lab coat

  • Members’ individual health-related concerns
  • The feasibility of executing panels, activities, and gaming
  • ConSuite and parties
  • MainStage productions
  • The quality of the experience for our CONvergence members
  • Contract and insurance clauses that impact our decisions and timeline

We are in the process of reviewing and researching all of these factors so that we can continue our current plan to hold CONvergence as-scheduled in August 2020, or choose a new plan as necessary. We are exploring numerous scenarios, and we will commit to updating you on a monthly basis between now and the convention. Should new relevant information arise before this monthly update, we will share that with you as soon as possible.

We would like you to know that we are taking several steps right now.

First and foremost, we are continually monitoring the information that is coming from the State, City, and Hotel levels. If the Governor has not lifted the Stay-At-Home order, or if a ban on large gatherings is in place, and as a result hotels are not allowed to hold conventions, then the decision is made for us. At that point, we will announce the cancellation of CONvergence 2020 and begin in earnest making plans for CONvergence 2021, as well as develop options for members regarding your 2020 memberships.

Second, at the April 2020 Convention Committee meeting, CONvergence departments were charged with developing strategies for CONvergence 2020 that address the requirements of social distancing, contamination minimization, and any additional considerations relevant to holding a safe convention. It is an ongoing planning process that is happening as you are reading this. We want to emphasize that it is still too early to have determined answers to every “what if” question and scenario. As such, our refund policy and process for transferring a membership remains the same for now.

If you are interested in joining the effort to develop strategies for making CONvergence 2020 safer, please contact us.

While we urge you to do what you think is in the best interests of your health and the welfare of you and your family, we encourage you to stay tuned for future announcements about CONvergence 2020 before making any decisions. Rest assured, the health and welfare of our whole community is our priority. We are actively taking the impact on everyone into account, especially the impact on those with health issues and limitations exacerbated by this pandemic. We will enact the best measures we can, and we are endeavoring to do so with the appropriate amount of information so that we can analyze and prepare for the effects of any decisions. Thank you for your patience and understanding.

CONvergence values everyone’s input. Please feel free to reach out and contact us with concerns and ideas you might have.

Currently Seeking Sensitivity Readers

CONvergence strives to create an inclusive environment that is respectful of all cultures and identities. We are aware that the theme of Mythology and Legends for CONvergence 2020 could lead to disrespect of cultures and propagation of stereotypes. To address that, we are currently recruiting Sensitivity Readers to assist CONvergence in actively avoiding cultural appropriation and hurtful stereotypes.

Sensitivity Readers will work with the CONvergence Programming department to review proposed panel titles and descriptions, and to recruit and vet potential panelists. They will also review materials for the souvenir guide and may work with other departments upon request.

Those who volunteer for this task will be considered Specialists in the Programming department, and will therefore be members of the Convention Committee. This is an excellent opportunity to engage in convention planning throughout the year and shape the convention’s programming content, not to mention clock some volunteer hours before the convention.

Applicants with strong knowledge of cultural sensitivity regarding marginalized cultures, best practices, and experience—including both professional experience and lived experience—in providing guidance around these topics are preferred. If you would like to be considered, please contact Margaret Eastman, Director of Activities, at activities@convergenceevents.org. If you have friends who may be interested, please encourage them to get in touch!

You don’t have to have been on a panel or run a panel before to contribute panel ideas. We want panel suggestions from all walks of our diverse and vibrant community! That means you!

For those who are not aware, many of our programming ideas for the next convention are generated at this upcoming October session. Once we have a list of ideas, we proceed to enter them all into our database. By February 1st, our list of ideas goes live and we invite CONvergence members to volunteer as panelists and moderators. For more information, check out our panel scheduling page.

Child Care

Child care will be available during the Programming Brainstorming Session. Please contact CONvergence Programming with the number of children you plan to bring and their ages. This helps CONvergence make sure there will be enough people and appropriate activities available for your children.

Can’t make the Brainstorming Session?

If you can’t make it to a brainstorming session, we encourage you suggest panels online via our Panel Suggestion Form!

Additionally, If you already have specific ideas for panels that you would like to see, present, or run yourself, please send them to us via the web rather than saving them for the brainstorming session; it’s faster and easier than trying to dictate while a roomful of people are waiting. You are welcome to both submit panel ideas online AND attend the brainstorming session!

Panel suggestions will be accepted until March 31st, 2020. However, they really should be in by January 31, 2020 to have a good chance of making it onto the CONvergence 2020: The Stuff of Legends schedule.
