Connie outgrows the DoubleTree!On March 15, 2015, emails were sent out to everyone who entered the CONvergence 2015 hotel lottery. These emails informed entrants whether or not they would have the opportunity to reserve a hotel room for CONvergence 2015: DoublePlusGood in the DoubleTree by Hilton, Sheraton Bloomington, or Crowne Plaza.

The email was sent to the email address you provided when you registered for your CONvergence membership. If you entered the hotel lottery but didn’t get an email, you should check your spam/junk folder, and, if you use automatic sorting with Gmail, your promotions folder. If you still can’t locate an email about your hotel lottery entry, please contact the CONvergence Hotel Department as soon as possible.

Follow-Up Email Confirmations

Last weekend, those with the opportunity to reserve a hotel room for CONvergence 2015 in the DoubleTree by Hilton, Sheraton Bloomington, or Crowne Plaza should have received a second email from the CONvergence Hotel Department.

This follow-up email provided a link to a form asking for two things:

  • Confirm that you still want your hotel room reservation. Unwanted hotel rooms will go back in the pool to be allocated to those on the waiting list.
  • Confirm all your contact information so the hotels have what they need to send you final details.

Again, Gmail may have sorted this email into your Promotions tab, and other mail services may have marked it as spam. Please watch for this, click on the link, and fill out the form.

The next email you get about your CONvergence 2015 hotel reservation should be directly from the hotel at which you have the opportunity to reserve a room. IMPORTANT: The Sheraton Bloomington is requesting the reservations be guaranteed within 7 days after their confirmation has been sent. The DoubleTree by Hilton and Crowne Plaza are requesting guarantees within 14 days.

Questions About Hotel Lottery Room Requests

To better manage hotel allocation inquiries and to facilitate faster replies, we have set up a new email address: allocations@convergence-con.org.

Please forward any inquiries on hotel lottery room requests, reservation changes, and cancellations to this new address. The usual address, hotel@convergence-con.org, should still be used for other hotel inquiries, but we will monitor that address for room issues as well.

Didn’t get a Room Through the Hotel Lottery?

While everyone who entered the hotel lottery has been automatically added to the wait list, it is a very, very good idea to plan other accommodations. Here are a few suggestions to help you!

  • Reserve a room at one of the CONvergence overflow hotels. Remember, CONvergence provides a FREE, 24-hour accessible shuttle that stops at all of the overflow hotels for the duration of the convention. Our team is already working to ensure the shuttle is faster and more reliable than ever this year.
  • Find crash space, hotel roommates, and carpools via Facebook using the official CONvergence Connections group.
  • Find crash space, hotel roommates, and carpools via Twitter by tweeting on the #CVG2015 hashtag.

Like everything else at CONvergence, Connie’s Quantum Sandbox is run entirely by volunteers, and the activities you enjoy every year are sourced from member suggestions! How cool is that?

Activities must be safe for novices, not violate any laws or hotel rules, and generally should not take longer than an hour to complete.

Do you have any My Little Pony-type figures that you no longer need? Maybe they’re damaged beyond restoration from years of toddler exposure, or they’re sitting in a box, in your basement, all-but-forgotten.

Connie’s Quantum Sandbox is seeking donations of vinyl My Little Pony-type figures, which will be used in an art activity at CONvergence 2015: DoublePlusGood. The ponies can be in any condition—used, played with, damaged, etc.

Specifically, Connie’s Quantum Sandbox wants used ponies. Remember, these are for an art project. You will not be getting the ponies back. You don’t need to purchase anything new, and please do not donate treasured toys. However, if you find some cheap, used pony toys at a thrift store and would like to donate those to the Quantum Sandbox, it would be much appreciated!

We are excited to announce our full Guest of Honor slate for CONvergence 2015: DoublePlusGood!

Even if you don’t recognize all the names and faces yet, you’ll probably be familiar with some of their work and the accomplishments held by this impressive slate of guests. Go ahead and click on a guest to find out more about them and what they’ve worked on!

It was previously announced that Charles Vess would be a guest at CONvergence 2015: DoublePlusGood. At this time, we regret to announce that Charles Vess​ had to cancel his appearance due to scheduling. We hope to welcome him as a guest in the future.

The Sheraton Bloomington has had plans to renovate since, and as a part of, their conversion from a Sofitel. We have recently been told that they ” […] have been awarded the honor by Starwood Hotels and Resorts, to be the flagship Sheraton Brand in all of North America.”

This means their renovations—not just remodeling or redecorating—are going to be quite extensive throughout the entire building. As of January 2015, their renovations have finally begun and are so extensive that the Sheraton at this point in time is only willing to commit to 50 king bed rooms for their CONvergence 2015 room block.

We will of course continue to monitor the Sheraton’s time frame with hopes that more rooms will become available. The CONvergence Hotel team has also worked to nail down as many room blocks as possible elsewhere, and is working on securing shuttle information.

Below is the full text of the letter that CONvergence received from the Sheraton Bloomington.

Good Morning,

On behalf of our hotel team, we are looking forward to your upcoming CONvergence room block July 1-5, 2015. The Sheraton Bloomington Hotel recently celebrated our one year anniversary and we are thrilled to share with you the new transformation that will take place in 2015. We have been awarded the honor by Starwood Hotels and Resorts, to be the flagship Sheraton Brand in all of North America. Therefore, upon the conclusion of this incredible transformation, we will be the face for the new era of the Sheraton brand.

The transformation of this new style will begin with our lobby, our guest rooms and with our new restaurant. The journey to our new Sheraton brand will begin in January, with a conclusion in July of 2015. Due to the nature of our business, your comfort is very important during this process, so we commit that this renovation will not take place during your event, therefore we anticipate minimal noise disturbance. In addition, the scope of the guest room renovation will be impressive, yet discrete; as we will not undergo drilling or plumbing changes, confirming the quiet nature of this renovation.

In order to ease the anxiety you may be experiencing right now, we have identified the time frame during your event as a quiet work period. The contractors are aware that they are required to exercise extra sensitivity to noise. Therefore, you should not have any concerns.

Although we intend to mitigate all noise disturbance, your guests may experience two alternate service locations during your stay. Due to the lobby transformation, there will be a period where guests check into their rooms from an on property satellite location. If that is the case for your program, I will be sure to notify you prior. Signage and assistance will be clear in order to eliminate any confusion. In addition, while the official restaurant will be closed for renovation, food and beverage will still be available for your guests. Again, this will be offered from a comfortable satellite location.

Delivering a top of the line guest experience remains paramount, therefore, our goal will be to mitigate any negative guest impact. Visually, we will provide barriers to the work zones so your guests continue to feel warm, welcome and connected at the Sheraton Bloomington Hotel.

When: Saturday, July 19, 2014 at 7:00pm until 11:00pm
Where: DoubleTree by Hilton Bloomington
Why: Because it’s fun to party with CONvergence volunteers, of course!

Snacks and beverages will be provided for all volunteers, and the hotel will have a cash bar set up. The pool and hot tub will be open for us to enjoy and we will have a changing room available. Bring your swimsuit, bring a game to play, bring CONvergence stories to share, and most importantly, bring yourself!
